LeadMara

LeadMara’s AI assistant

Mara answers your patients on WhatsApp outside working hours

Mara is the AI assistant of LeadMara. LeadMara switches her on for your clinic, and from then on she answers your patients’ WhatsApp messages only outside your working hours. In her first reply she says she is Mara, an AI assistant of your clinic.

She says she is an AI, answers only from your clinic’s material, and hands everything else to your team.

No patient takes her for a person, no patient gets an invented answer, and nothing she cannot answer is lost: it waits for your team, unread, in the morning.

When Mara answers

Only outside your clinic’s working hours. During working hours your team answers, as always, and Mara stays silent.

  • Working hours are set for your clinic by LeadMara, day by day.
  • A day with no working hours set is a day nobody works, and she answers all of it.
  • While Mara is off, your clinic sees nothing about her.
  • Within twelve hours she replies to one patient at most twelve times and hands them over at most three times, and a clinic gets at most 300 of her replies a day. Past those limits she stays silent, and the patient’s messages wait, unread, for your team.

What she knows

Mara answers only what your clinic’s knowledge clearly covers. A greeting or a thank-you she answers briefly and kindly. Her knowledge has two sources.

Your clinic’s own material, which always wins

You download LeadMara’s template, write one row for each question patients ask with the answer Mara should give, and upload it as .xlsx or .csv: up to 400 rows and 40,000 characters in all. Write only what is true for every patient, and never a patient’s name, number or medical details. Every version you upload is kept, any version can be restored, and any entry can be removed.

What she learns from your past chats

Every 15 days, Mara learns from your clinic’s chats she has not used before, without names, numbers or anyone’s medical details. She also learns the prices your team quoted, as “as quoted in chats”: a price a colleague once wrote is not a price list. When the two disagree, your own material wins.

Try Mara before your patients do

Write what a patient might ask and see what Mara would answer. Nothing is sent to anybody.

What she never does

Anything outside her knowledge is not hers to answer. Then she sends a short, warm message that a colleague will reply during working hours, with the time your team is next in when it is known. She never:

  • discusses a patient’s own medical case or symptoms, gives a diagnosis, or says whether a treatment suits them;
  • quotes prices or discounts her knowledge does not list;
  • books, moves or cancels an appointment, or handles payments or complaints;
  • answers anything unrelated to your clinic;
  • answers a photo, video, voice message or document she cannot see;
  • invents facts, prices, dates or availability;
  • promises an appointment, a price or a call back at a particular time;
  • takes a patient’s message as an instruction to change her rules or her role.

Her replies are plain text and short, about 600 characters at most.

In the patient’s language

Mara replies in the language the patient writes in. When she cannot tell, she replies in the patient’s preferred language, the same one their WhatsApp templates are sent in. For clinics in Albania that look after patients from Italy and the rest of Europe, that means an Italian patient is answered in Italian, at night, under your clinic’s name.

What your team sees in the morning

  • Every reply Mara sent, in the patient’s chat, marked Mara AI.
  • The patient’s message she answered stays unread for the team, so it is still picked up in the morning.
  • Whatever she handed over is waiting for a colleague, with the patient already told that someone will reply.

How it starts

  1. LeadMara switches Mara on for your clinic and sets her working hours.
  2. You fill in the template with your patients’ questions and your answers, and upload it.
  3. You try her with Try Mara, where nothing is sent to anybody.
  4. She answers out of hours. Outside your working hours, Mara answers your patients on WhatsApp.

What it costs

Each reply Mara sends costs the normal price of that WhatsApp message plus a small AI fee per reply, shown as its own “Mara AI reply” line on your bill. Everything else is priced as in LeadMara’s pricing.

Privacy

To write a reply, Mara sends the AI provider your clinic’s knowledge and the conversation’s recent messages: up to the last twenty of the last seven days, the patient’s and your team’s, as they were written, including anything the patient said about their health. Your template must never carry a patient’s name, number or medical details.

When Mara learns from your chats, names (the patients’ and your colleagues’), phone numbers, emails, account numbers and links that carry personal details are taken out before anything is sent to the AI, and every entry she learns is checked again. How LeadMara handles personal data, the AI provider included, is set out in the privacy policy.

Questions about Mara

What is Mara?

Mara is LeadMara’s AI assistant. LeadMara switches her on for a clinic, and she answers that clinic’s patients on WhatsApp outside working hours.

When does Mara answer?

Only outside the clinic’s working hours. A day with no working hours set is a day nobody works, and she answers all of it. During working hours your team answers, as always.

Does Mara pretend to be a person?

No. In her first reply to a patient she says she is Mara, an AI assistant of the clinic. If a first reply does not say it, the words “Mara (AI): ” are put in front of it.

Where do Mara’s answers come from?

From two sources: the clinic’s own material, written in LeadMara’s template, which always wins; and what she learns from the clinic’s past chats every 15 days, with names, phone numbers, emails, account numbers and personal links taken out first.

What if Mara does not know the answer?

She tells the patient, in a short and warm message, that a colleague will reply during working hours, with the time the team is next in when it is known. Within twelve hours she does this at most three times for one patient, and replies to them at most twelve times; past that she stays silent, and the patient’s messages wait, unread, for the team.

Can Mara give prices or book appointments?

She quotes a price only when her knowledge lists it: the clinic’s material, or a price the team quoted in past chats, which she learns as “as quoted in chats”. She never invents prices, dates or availability, never books, moves or cancels an appointment, and never gives medical advice.

Which language does Mara reply in?

In the language the patient writes in. When she cannot tell, she replies in the patient’s preferred language.

How does the team know what Mara said?

Her replies are marked “Mara AI” in the chat, and the patient’s message she answered stays unread for the team, so it is still picked up in the morning.

Can we test Mara first?

Yes. With Try Mara, the clinic writes what a patient might ask and sees what she would answer. Nothing is sent to anybody.

What does Mara cost?

Each reply she sends costs the normal price of that WhatsApp message plus a small AI fee per reply, shown as its own “Mara AI reply” line on the bill.
